How we handle your personal information when you are added to SafeWork NSW’s centralised stakeholder records database.

1. Who we are
Your information is being collected and held by the SafeWork NSW Agency (SafeWork). We give priority to protecting the privacy of your personal information, in accordance with the Privacy and Personal Information Protection Act 1998 (PPIP Act).
2. Why we collect your personal information
We collect stakeholder information to facilitate effective stakeholder engagement across all SafeWork.
3. The kinds of information we collect
We may collect the following information:
- organisation information i.e. business name, contact details
- your full name, role title and contact details, including your phone number and email address
- the industry you represent and the cohorts you engage with so we can ensure our communications are relevant and targeted
- interaction history with SafeWork i.e. meeting attendance, consultation involvement and responses, event attendance, feedback provided.
4. Failure to provide information
Providing stakeholder information is voluntary; however, if you choose not to provide your information, it may impact:
- your ability to participate in SafeWork consultations and engagement
- receiving relevant updates and invitations to stakeholder engagement activities
- opportunities to be informed, consulted or participate in co-design WHS initiatives
- opportunities for collaboration with SafeWork where external stakeholder involvement is necessary.
5. How we may use this information
We may use the information we collect to facilitate effective stakeholder engagement across SafeWork in the following ways:
- providing important updates: sharing relevant news, policy changes, and program developments to keep stakeholders informed
- conducting consultations: gathering feedback through surveys, meetings, and other stakeholder engagement activities to shape WHS policies and projects
- managing stakeholder engagement participation: sending invitations, tracking attendance, and coordinating stakeholder involvement in SafeWork events, workshops, forums, and information sessions
- enabling internal collaboration: ensuring stakeholder records and insights are available for SafeWork teams to ensure effective engagement across the agency with our external stakeholders
- improving our approach: conducting stakeholder surveys, focus groups or research for the purpose of improving our approach to stakeholder engagement
- supporting Ministers by connecting them with key stakeholders
- co-designing and collaborating on WHS initiatives: inviting stakeholders to partner or work with SafeWork directly
- other directly related purposes.
6. Who we may share your information with
On 1 July 2025, SafeWork was established as an Executive Agency related to the Department of Customer Service (DCS). DCS will continue to provide some corporate service functions to SafeWork under formal agreement and assist us with our business operations by providing software and storing data on our behalf. SafeWork may disclose information to the Minister for Work Health and Safety for the purposes of administering and overseeing work health and safety laws and related functions such as stakeholder engagement.
We will not disclose your personal information to anybody unless we are authorised or permitted to do so by law or where you give consent. For a description of when this may occur, refer to our privacy statement.
7. Protecting your information
We will store and manage your information in accordance with the provisions of the PPIP Act. We have measures in place to help protect your personal information from loss, unauthorised access, use, modification, disclosure, or other misuse.
We will only keep information for as long as we need it to fulfil the purposes we collected it for. After which, the information will be disposed of securely in accordance with the State Records Act 1998 and any other applicable legislation. You can request access to your personal information, update it, or opt out of communications at any time by contacting stakeholderengagement@safework.nsw.gov.au.
