Small business rebate online workshop/event - privacy collection notice
This page explains how we handle your personal information when you attend and online advisory workshop/event or Microsoft Teams meeting.

1. Who we are
Your information is being collected and held by SafeWork NSW Agency. SafeWork NSW gives priority to protecting the privacy of your personal information, in accordance with the Privacy and Personal Information Protection Act 1998 (PPIP Act).

2. Why we collect your personal information
SafeWork NSW is collecting your personal information for the purposes of registering you for and participating in the online advisory workshop/event. In addition, the collection of information and recording may be so that we can refer later to what was said or shown during the online advisory workshop/event. Examples may include:
- Individuals who are unable to attend an online advisory workshop/event can view the recording later (if a recording has been made).
- Videos of training and demonstrations can be reused.
- Discussions with internal and/or external stakeholders can be recorded accurately.
- Advice provided to staff or stakeholders on a critical issue can be recorded accurately.
3. The kinds of information we collect
This online advisory workshop/event may be recorded by SafeWork NSW or, in some cases, by one of the other participants.
You will know if an online advisory workshop event is being recorded because there will be a banner displayed on your screen indicating that this is occurring, or you will hear an automated notification if calling into the online advisory workshop/event by telephone. or the presenter will advise you at the online advisory workshop/event. If an online advisory workshop/event is recorded, a transcription of what is said will automatically be generated. If you would like to clarify who is recording the online advisory workshop/event, please ask.
The personal information collected may include:
- first and last name
- the name, date, type and location of event you attended
- email address and telephone number
- business name and address
- industry
- voice, image, text
- opinions or personal views.
4. Failure to provide information
Your information is provided voluntarily however if you choose not to provide your information:
- you may not be able to attend the online advisory workshop/event or
- you may only be able to participate in the online advisory workshop/event in a reduced capacity.
- You may not be able to use your attendance as evidence of participating in an eligible education activity for the purposes of applying for the small business rebate program.
- Subject to 4 (e) below, you have the option to leave the online advisory workshop/event at any time, in which case you may be able to access the recording (if a recording has been made) at a later time. Alternatively, you could attend with your camera off and turn off ‘automatically identify me in meeting captions and transcripts’ in settings.
- If you are using your attendance at the online advisory workshop/event as your eligible education activity for a small business rebate application:
- we will need to be able to identify you so we can match your attendance to your application.
- You are required to attend the full event.
5. How we may use this information
We may use the information we collect in the following ways:
- To register you for the online advisory workshop/event.
- To provide you with access to the online advisory workshop/event.
- To determine your eligibility for the small business rebate program.
- To determine your attendance at the online advisory workshop/event.
- To communicate with you regarding and during the online advisory workshop/event, including sending reminders and follow-up information.
- To respond to your inquiries and provide customer support.
- To improve our online advisory workshops/events and other services based on feedback and analytics.
- To support more informed policy making, program management, evaluation, research, and service planning as it can facilitate more efficient service delivery for residents and business in NSW.
- Other directly related purposes.
Any TEAMS generated online webinar/meeting records will be automatically deleted after 120 days unless the meeting organiser changes the retention period or it is stored in accordance with records management requirements.
6. Who we may share your information with
We may share your information with:
- online advisory workshop/event platform providers for the purpose of hosting the webinar/meeting.
- event organisers to verify your attendance at the online advisory workshop/event, how long you attended the online advisory workshop/event, and, if you are applying for the small business rebate, the eligibility of the online advisory workshop/event for that program
- other business units within SafeWork NSW or the Department of Customer Services for the purpose of assessing your eligibility for the rebate and for compliance purposes, including to verify your attendance at the online advisory workshop/event, how long you attended the online advisory workshop/event, and, if you are applying for the small business rebate, the eligibility of the online advisory workshop/event for that program
- Other NSW government agencies, or other States, Territories and/or the Commonwealth for the purpose of assessing your eligibility for the rebate and for compliance purposes. We may disclose your personal information to such bodies for these purposes.
- Your name/email address or other chosen identifier may be visible to other attendees at an online advisory workshop/event.
- We may share de-identified information for research and statistical purposes.
We will not disclose your information to anybody else unless we are authorised or permitted to do so by law or where you have given consent. For further information, please see our privacy statement.
7. Protecting your information
We will store and manage your information in accordance with the provisions of the PPIP Act. We have measures in place to help protect your personal information from loss, unauthorised access, use, modification, disclosure, or other misuse.
We will only keep information for as long as we need it to fulfil the purposes we collected it for. After which, the information will be disposed of securely in accordance with the State Records Act 1998 and any other applicable legislation.
